Meeting convened at 9:00am.

Minutes:
Motion (Canzano, Gaillard) to approve November 1, 2002 minutes. Carried.

UHLS: Phil Ritter

  • Information from Mary Fellows: There are three new Chapter-A-Day book clubs, the Horror/SciFi one is up now and Prepub and Mystery will be available in February. UHLS has paid the required fee for these additions.
  • Information from Sarah Dallas: 2002 Outreach Mini-Grant evaluations are due to UHLS by December 20th. The 2003 Mini-Grant application is on the Intranet. It is due in by February.
  • Construction Grant summary was distributed. Four projects have been funded.
  • UHLS Budget has been approved. The letter Pat Nonamaker sent on behalf of the Directors’ Association helped.
  • UHLAN contracts have gone out and five of them have already been returned.
  • The list for Online Databases available for 2003 was distributed. The Times Union database is on a one year trial basis. The Grolier database replaces World Book. Phil explained the process that will be used to notify every one of the changes. The Central Library increased its level of support and Jo-Ann Benedetti worked very hard negotiating better prices in order to bring everyone the selection presented for 2003.

UHLS Administration: N. Pieri

  • There are two studies at this time. One is to look into the air quality of the building and the other one is to look into structural issues with the building.
  • Martin Luther King Day is typically a closed day for UHLS but there was a recommendation made to make it a floating holiday for this year due to libraries being on PC reliance before the migration.

Services: J. Felsten

  • Reviewed applications for construction grants
  • Discussed waivers for space (# of tables and chairs available).
  • No meeting is scheduled for December.

Finance Committee & UHLS Board: J. Cannell
No meetings.

Central Library: J. Cannell
Completed interviews for architectural firms for strategic planning process. The process should be completed by the fall.

Epixtech Migration: P. Nonamaker
The Implementation Team is working very hard but are far behind due to Karen Nuckolls’ absence. The goal was to have 95% of the data corrected before the migration and they are currently at 81%. It is due at the end of next week (12/20). Many questions were raised as a result of the trainings and the Imp Team is trying to work them out.
Jeff Cannell expressed thanks to the Imp Team for all the work they have done.

Nuts & Bolts:
POES: Margie Morris reported that the Chapter 414 vote did not pass in November. They lost by 74 votes. This means there is no money in the 2003 budget for books. Also she shared a children’s book Can You Find It? by Judith Cressy that features a Joseph Hidley painting of Poestenkill as one of the selections.
BRUN & SNLK: Carol Trager & Jane Minotti reported that they are hiring a children’s librarian to share between the two libraries.
VOOR: Gail Sacco reported that their book discussion groups have started a book group fund. They received contributions form the library, Friends, and book groups. For NYLA, she reported that the LAMRT roundtable is trying to become a section and that NYLA is trying to start and endowment fund.
Barbara Nichols Randall reported that the NYLA Advocacy group is discussing a rally as part of lobby day.
Phil Ritter reported that POLISDO is meeting with Janet Welch and Commissioner Mills to discuss funding and the decisions that are being made about libraries.
Bobbi Crowther asked if the Central Library was paying for all of the online databases. Phil explained the breakdown in fees and how they are paid. Right now the cost is $106, 603. UHLS is paying $13, 301.50 and the Central Library is paying the rest.

Old Business:
Judy Felsten reported that Albany County was cutting the library checks on December 31st and distributing them to the towns.

New Business:
None
